POSITION: Executive Assistant Clinical

The Executive Assistant Clinical is responsible for coordinating and assisting with activities of the Vice President (VP) Clinical / Chief Nursing Executive (CNE). The Executive Assistant Clinical supports the managers and coordinators of this portfolio.
Ø Office Administration/Medical Administration Diploma (2 years) or undergraduate degree in Business or Commerce (preferred)
Ø Additional advanced courses or training in word processing, spreadsheet and graphic software packages preferred
Ø 5 years’ experience in a senior assistant role, or related and progressive experience in a demanding, highly computerized office environment
Ø Experience in health care/hospital an asset
Ø Proficient in word processing, excel spreadsheets, e-mail and graphic software package an asset
Ø Experience with OTN technology an asset, experience in Cerner an asset
Ø Minimal physical effort
Ø High degree of mental effort and analysis
POSITION-SPECIFIC RESPONSIBILITIES AND TASKS:
Ø Provides administrative support to the V.P. Clinical Services / Chief Nursing Executive (CNE), quality teams and sub-Committees, medical staff as necessary, Coordinators and Managers, CEO as needed
Ø Assists the V.P. Clinical / CNE and Clinical Leadership Team in building agendas, taking, updating, and circulating minutes, and assists in monitoring clinical committee activities.
Ø Assists the V.P. Clinical / CNE with managing calendar, email and telephone calls; composes and prepares presentations and correspondence
Ø Interacts on a professional basis with a variety of internal and external contacts
Ø Assists in coordinating activities related to Board/Administrative special projects/events.
Ø Provide administrative office support: meeting room reservations, catering request, photocopying/fax machine, videoconferencing, teleconferencing, travel accommodations, processes expense reports and ordering supplies as required.
Ø COPPS administrator
Ø Attendance on committees, as needed
Ø Travel to neighboring hospitals and outside agencies may be required from time to time
Ø Lead, support or participate in key activities or action plans as identified on applicable Operational Plans
Ø Active member of applicable team/unit/department meetings and huddles
Ø Works closely with the V.P. Clinical / CNE to keep them well informed of upcoming commitments and responsibilities, following up appropriately
